Propose
A person or agent creates a candidate from a document, decision, or newly discovered information.

A workspace manager checks the content and its source before approving or rejecting it.

Approval creates a canonical version with durable provenance and a human review receipt.

Supersede or archive
A later approved version replaces the earlier one, or a manager removes the page from retrieval without changing unrelated access.

Sources and versions

Dashboard and MCP results include the page title, source labels, and canonical version. Superseded versions remain distinguishable from the active record. Stateful MCP clients can subscribe to a page resource and receive an update notice after approval, freshness review, or archive changes its canonical state.

Authorization boundary

Knowledge supplies context. It cannot grant access to a model, tool, action, parameter, or company system. Authorization comes from workspace and runtime policy.

Connected sources use the same review path

Enable the Knowledge capability on supported integrations such as Google Workspace Drive or SharePoint to bring bounded company sources into the library. Connected content remains subject to its configured audience, candidate review, canonical publication, and freshness schedule.

Source health and last-sync status stay visible. A provider connection does not make all of that provider’s content searchable or bypass workspace review.
